- Offer and contract: You receive a written offer. We agree scope, the launch date and data processing before we start.
- Setup and operations: After you sign the contract and payment is received, we set up your portal. clever hr looks after the system and keeps it current.
For your team
A web app in the browser.
After setup, your team uses the portal in the browser. We configure personal logins and permissions within the agreed scope, for example for leave, absences and access to personal records. An app from a store is not part of the offer.
Location and data protection
A server for your company alone.
- The server is in Switzerland or an EU member state, as chosen in your contract.
- Backups are encrypted and stored in the EU, including for a server in Switzerland.
- Care and support may take place from Austria. The data processing agreement specifies processing locations and sub-processors.
- Personal logins with two-factor authentication. clever hr exclusively operates the server.
Term
Three months, then monthly.
The minimum term is three months from the official launch. You can then cancel with one month’s notice to the end of a calendar month, first at the end of the minimum term. Price in the intro call. You receive a written offer before work starts.

Book HR administration and payroll separately.
The portal includes the HR system and its operation. Payroll is not part of the portal. clever hr offers payroll and ongoing HR administration as separate services. We discuss the support you need in the intro call.
Questions that come up first.
Who owns the data?
The data belongs to you. After setup, portal data sits on a server for your company alone. clever hr operates the system under your mandate. Backups are encrypted and stored in the EU.
Where do the server and the backups stand, and who accesses them from where?
You choose a server in Switzerland or an EU member state. Backups are encrypted and stored in the EU, including for a Swiss server. Care and support may take place from Austria. The data processing agreement specifies processing locations and sub-processors before we start. For supervised companies, we also clarify audit rights in advance.
What happens if we cancel?
After the minimum term of three months from launch, you can cancel with one month’s notice to the end of a calendar month. Within 30 days after the contract ends, you receive a complete export in common formats, included in the price. After you confirm receipt, and no later than 60 days after the contract ends, we delete the data from the server and backups and confirm this in writing. Statutory retention duties and different instructions in the data processing agreement remain reserved.
How do we move off our current software?
We discuss your existing processes in the intro call. Data migration, functions and the timetable are then specified in the offer and contract. We set up the portal after the contract is signed and payment is received. Please do not send personnel files with your initial enquiry.
How much work stays with our HR team?
Your team maintains the agreed information and reports changes. We operate the system. You can commission ongoing HR administration and payroll separately. Decisions on hiring, pay and exits stay with you.
Is there a store app, or can we run the server ourselves?
Neither. Employees use a web app in the browser. clever hr handles operations, maintenance, backups and updates.
Is payroll included?
No. The portal includes the HR system and its operation. clever hr offers payroll separately. The written offer specifies the scope and price of the services you choose.
